Congratulations to BOSEPO 2026 finalists!
The purpose of these regulations is to ensure a safe, professional, and engaging environment for all exhibitors, participants, visitors, and staff at the BOSEPO main event. All displays, exhibits, and materials presented must comply with these guidelines. Safety, accessibility, and respect for all attendees are top priorities.
Exhibitors must maintain their displays within assigned spaces and ensure that all equipment, materials, and personnel comply with safety standards. All interactions with visitors should be respectful and inclusive.
Exhibits may include: posters, prototype exhibits, basic lab equipment setups, digital presentations, and other allowed items.
Each must remain within the assigned booth/area and not obstruct aisles or neighboring spaces.
The poster is composed of one cardboard panel and a title card. Details on the dimensions and layout are here.
The poster must not display any national flags.
All posters must be mounted securely on the provided panels or stands.
Power supply will be provided only for the projects that request it during registration, and only for the technical equipment necessary for the display, NOT laptops and other screens.
Only approved extension cords and surge protectors may be used.
All cables must be routed so as not to cross aisles.
No open wiring or exposed connectors allowed.
Chargers must be certified and must not overload the circuit provided.
Robots or devices with moving parts must be secured and must include emergency stop mechanisms if potentially hazardous.
Operators must supervise their technical equipment at all times. The organisers accept no responsibility for any damage to the equipment or the venue.
The following items are strictly prohibited:
any form of open flame,
compressed gases (unless pre-approved for educational use),
flammable liquids or hazardous chemicals,
sharp tools without protective guarding,
live animals,
microorganisms,
weapons or weapon replicas,
loud noisemakers or explosives.
Certain items are permitted only with prior permission:
UV light sources (must be shielded),
lasers (Class 3R and above),
high-voltage experiments,
battery packs larger than 12 V or lithium battery arrays,
heated elements (must have guarding and fire suppression available).
Violation may result in immediate removal from the event.
Fire extinguishers will be placed throughout the exhibit hall. Exhibitors must not block access.
Emergency exit routes must remain clear at all times.
Any accident, spill, injury, or unsafe condition must be reported immediately to event staff.
Exhibitors must:
ensure all displays are safe for visitors to approach (and touch if you believe it is acceptable),
provide proper warnings if any part of the exhibit has a potential risk,
supervise demonstrations involving tools or electronics,
arrange seating or queue areas to avoid crowding.
All exhibitors are responsible for:
keeping their area tidy,
removing waste or debris,
using waste stations appropriately.
Exhibits must not be dismantled before the official closing time of the event.
Any damage to venue property will be charged to the exhibitor.
Event staff and safety officers have the authority to:
inspect any exhibit
require modifications
Failure to follow these regulations may lead to expulsion and/or disqualification.
